n8n vs Zapier for Real Estate Automation: Which Should You Use?

Both tools can automate your lead follow-up and CRM workflows. But they're built for different types of users — and the wrong choice costs you either money or capability.

Both tools connect your apps. Both can automate your lead workflows. But they're fundamentally different products — and the right answer depends on your situation.

What they both do

At their core, Zapier and n8n are workflow automation tools. They watch for a trigger (a new lead form submission, a WhatsApp message, a deal stage change in your CRM) and then execute a sequence of actions (send a WhatsApp reply, update a Google Sheet, create a HubSpot contact).

For real estate, this typically means:

  • New website lead → auto-reply + CRM entry
  • Lead goes cold → follow-up sequence
  • Deal closes → invoice created + client onboarded

Zapier: built for simplicity

Best for: Solo agents who want automation without any technical knowledge.

Zapier is the most beginner-friendly option on the market. You don't need to understand APIs, JSON, or workflow logic. The interface walks you through every step, and there are thousands of pre-built templates for common use cases.

Pros:

  • Ready in under an hour
  • No servers, no maintenance
  • Excellent documentation and community
  • Integrations with almost everything

Cons:

  • Expensive at scale (pricing is per task run)
  • Limited logic — complex branching workflows are difficult
  • No self-hosting option — your data lives on Zapier's servers
  • Free tier is very restricted (100 tasks/month)

Typical cost for a real estate agent: $20–50/month on the Starter plan, scaling up quickly if you have high lead volume.

n8n: built for power

Best for: Agents working with a technical partner (like Gable) who want full control.

n8n is open-source, self-hostable, and considerably more powerful than Zapier. You can build workflows with complex logic, custom code, webhooks, and multi-step conditionals that would be impossible or prohibitively expensive in Zapier.

Pros:

  • Self-hosted = no per-task pricing, unlimited runs
  • Full control over your data
  • Complex multi-branch logic
  • Can run custom JavaScript inside workflows
  • Free to self-host (or ~$20/month on their cloud)

Cons:

  • Steeper learning curve — not designed for non-technical users
  • Requires a server to self-host (Digital Ocean, Railway, etc.)
  • Maintenance responsibility if self-hosted

Typical cost with Gable managing it: Server costs ~$6/month. One-time setup fee. No ongoing per-task charges.

Our recommendation

Start with Zapier if you're setting this up yourself and don't have a technical partner. It'll get you 80% of the value with minimal setup.

Use n8n if you're working with Gable or another technical team, have more than 200 lead runs per month, or need WhatsApp Business API integration. The economics and flexibility are dramatically better at scale.
